ADMINISTRATIVE SECRETARY
DEPARTMENT OF THEATER & DANCE
Full-time, Academic-year 40 hours per week
Summer Commitment of 12 Weeks at 5 Hours Per Week


FUNCTION:
The administrative secretary will provide office management and a wide range of secretarial duties for the combined office supporting the Department of Theater & Dance.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
• Provide administrative and clerical support
• Organize the department's office support structure
• Coordinate information management, record keeping, and reporting systems
• Support accounting for all departmental budget centers including all departmental billing and payments
• Process contracts for freelance service providers
• Coordinate office supplies and requisitions
• Process business card, envelope and letterhead orders
• Hire, train, and guide student employees, including ushers and box office workers
• Complete paperwork associated with faculty and staff searches
• Schedule Strider Theater, Cellar Theater and Dance Studio and reports room bookings to the Scheduling Office and the Registrar
• Prepare publicity including design and layout of programs, posters and email/digital notices
• Coordinate ticket printing and accounting of audience participation percentages
• Work effectively as a member of a diverse community
• Perform other duties as assigned

QUALIFICATIONS:
• A High School degree required, post-secondary education strongly preferred
• Three or more years of prior secretarial/office experience
• Extensive computer skills, experience using word processing, spreadsheets, database applications, email and the Internet, Excel, PowerPoint, as well as an interest in learning new programs
• Proven capability to balance multiple priorities successfully
• Working knowledge of business English, proofreading, and spelling skills
• Excellent communication and organizational skills, and the ability to handle confidential information
• Personable, accurate, and extremely attentive to detail
• Talent diffusing challenging customer contacts with tact and poise
• Ability to work independently and as a member of a team, establish priorities, and work collaboratively with members of a diverse community
• Initiative in assuming responsibilities

PHYSICAL ENVIRONMENT:
General office and campus environment. Employee may interact with other administrative offices, faculty and staff, alumni, donors, and external groups.

PHYSICAL EFFORT:
Position involves sitting, although frequent movement is necessary. Walking, standing, bending, twisting and occasional lifting required. Computer usage involving repetitive hand/wrist motion is also necessary.
