CMR - Verizon Business Conferencing

VerizonColby contracts with Verizon for on-demand automated conference services designed for ease of use and cost-effectiveness. Users must be pre-approved as Subscribers.  No reservation is required for Subscribers.   This conference resource can accomodate up to 30 participants, and can be for on or off campus use.  Charges are paid centrally and billed back to department accounts.

<font color=black>Introduction
Colby's Verizon Business Conference is an out-sourced service through Verizon with expenses charged to the college. Please help ensure appropriate use. Remember, most faculty/staff phones have an in-house conference feature that will accommodate up to six participants without having to employ Verizon. If your conference can originate from campus with six or fewer participants, consider the less costly Conference feature possibly in concert with a Sign Out of a Polycom high quality speakerphone available from Media Resources. For larger conferences or for conferences that must originate from off campus, you are at the right place for assistance with Colby's Verizon Business Conference service.
 
<font color=black>User Terms and Definitions
Leader The Colby person originating the conference call.
Participant The people (up to 20) who join the Leader on a conference call.
Dial-In Number The toll free telephone number used by parties to join a conference call.
Leader Passcode A 7 digit number used only by the Leader to create a conference call.
Participant Passcode The 7 digit number used by conference participants other than the Leader.


 
<font color=black>Preparing for a Conference Call (Leader)
Invite participants to join your conference by pre-distributing the following:
1. The date and time of the conference
2. The conference toll free Dial-In Nbr (Unique to your department)
3. The Participant Passcode.  Unique to your department)

<font color=black>Establishing a Conference (Leader)

To establish a conference, leader must:
1. Dial the conference toll free Dial-In Nbr (Unique to department)
2. At the prompt, dial the Leader Passcode followed by the #

 
Once the conference has begun, the leader can access the following keypad features:
*1  private help menu
*2  roll call of participants for all to hear
*3  roll call for leader only
*4  mute/unmute the entire conference except Leader
*5  enable conference to continue after Leader leaves
*6  mute/unmute individual line
*7  lock/unlock the conference (no others can join)
*8  dial out to add participants (within North America)
*9  entry/exit options: tone, recorded name or silent
 
<font color=black>Easy 1-2-3 Instructions for Joining a Conference (Participant)

To join an established conference, participants must:
1. Dial the same conference toll free Dial-In number as Leader
2. At the prompt, dial the Participant Passcode followed by the #
3. When appropriate, introduce yourself to other conference participants.

 
<font color=black>Tips for Successful Conferences

Conference Preparation:
1. Plan an agenda for your conference.
2. Determine who has a need to attend your conference.
3. Distribute the conference agenda to Participants.
4. Notify Participants of conference date/time, Dial-in number, and Passcode.
5. Tell Participants what input you expect them to offer during the conference.
6. Advise Participants of what materials they will need to access during the conference.
7. Request that Participants be punctual.

Conference Facilitation:
1. Introduce each party on the conference.
2. Explain briefly why each party has been asked to participate.
3. Ask Participants to speak on at a time during the conference.
4. Summarize the objectives of the conference.
5. Cover the agenda and stay on schedule.

Conference Closing:
1. Summarize the results of the conference as they relate to objectives.
2. Summarize the next steps to be taken if appropriate.
3. Thank each Participant for the input and cooperation offered.
4. Ask each Participant to disconnect from the conference.
