Catering

Welcome to the Colby College Catering Department. Our catering staff would welcome the opportunity to meet with you to customize any of your functions. By following these steps, you will be on your way to a successful breakfast, lunch, dinner or reception:
  • First, contact Colby's Scheduling & Facilities Office, at extension 4735,  to confirm the date, time, and location of your event.
  • Then, contact the Colby Catering Department at extension 5467 or 5466.
  • Colby College faculty and staff members can also place a catering order on line. All you need do is log in to the Catered Events Order Form, type in your order, and hit "Submit". Your order will be sent directly to the desk of our catering manager.
  • If you ever need extra assistance with your order or have a concern either before or after your event, please feel free to contact our Administrative Assistant, Debbie Knese, at Ext. 5460 or at dcknese@colby.edu. She will make sure the appropriate person in the department addresses your situation. Or, log on to our department's Suggestions Page to send your comments directly to the desk of our director, Varun Avasthi.

Guidelines
A guaranteed number of attendees is required 72 hours prior to your function. If the numbers change after your guarantee, please contact the catering manager immediately so proper adjustments can be made. Billing is based on the guaranteed number and any additional attendees above the guarantee. Cancellations or a change in numbers will be accepted 72 hours prior to the event. Cancellations made after the deadline will be billed at the guarantee number.

Catered Events in the Pub

If you would like to hold a catered event in the Pub, please first contact the Retail Manager, David Hartley (Ext. 5495) to reserve the date.  Heather Vigue (Ext. 5466), Catering Manager, will assist you with the Menu.  Check out your options below.

Glossary of Services
Sustainable Options: 
As part of Dining Services' sustainable initiative, we offer the following options:

  • Travel Mugs may be purchased at cost from Dining Services which can assist in lowering some of your catering costs.  Contact Joe Klaus at jjklaus@colby.edu or at Ext. 5486 for further information.
  • Provide your own mugs at your next breakfast or snack function and receive a 25 cent per person discount.
  • When planning your next catered dinner, consider ordering from our "Local/Sustainable" Dinner Menu.
  • Every catered event features an area provided to return cans and bottles for recycling.  Please encourage your guests to use it.
  • Juice and water is now provided in bulk to reduce function waste.

Bar Service:
The legal drinking age of 21 is strictly enforced and a valid picture I.D. is required.  A $15 licensing fee will apply to all bars and dinners with alcohol.

All hosted bars will be assessed a $100 bar charge, plus alcohol which will be billed on consumption.  This charge covers two bartenders and all bar set-ups.  If additional staff is needed, you will be billed at a rate of $15 per hour. 

Cash bars with less than 100 guests will be accessed a $100 bar charge.  

For catered meals,  alcohol will be billed on consumption.  If additional staff is needed for the service of alcohol, you will be billed at a rate of $15 per hour.

 Decor: Floral arrangements are available upon request. Table linens are available in an assortment of colors. If you have a specific request, please notify the catering office two weeks in advance.

Delivery Service: Orders may be placed for delivery to any campus location. All hot served and buffet dinners are served on china.  All other events will  be set up with paper plates, plastic cups, etc. unless china is requested which will include a $1.50 per person charge.

Minimum Fees: These apply to a few services including, but not limited to, the following functions. There is a minimum charge of $15 for any catered event, except for water set-ups which have a $7.50 minimum charge.

Late Fee: Catering requires a minimum of three business days to arrange a function, or catering reserves the right to add a $50 late fee to your bill.

Pricing: All catering prices listed are for Colby-funded events. For all other functions, please add 25 percent to prices listed.

Pick-Up Service: You can also contact catering to arrange for a pick-up order. Your choices are listed in the "Catering to Go" section of this catering guide. Orders are packaged for you to pick up at any time you specify at the kitchen in Roberts Union. "Catering to go" orders include all needed paper products.
