The following directions will sync your Colby e-mail to Microsoft Outlook 2013 on your Windows machine. These instructions assume Microsoft Office 2013 has been installed—students may download the package from my.colby.edu, faculty and staff may contact the ITS Support Center at support@colby.edu or ext. 4222.

 

  • Select Outlook 2013 from the Start menu. A window may appear, asking if you want to set up Outlook to connect to an e-mail account—select Yes and you should select Next once the window below appears
  • If these windows don’t pop up go to File>Info>Account Settings

  • You will be prompted to add your e-mail account—verify that your full name and Colby e-mail are in the correct fields. Select Manual setup or additional server types, then Next

  •  You will then proceed to the Choose Service window—select POP or IMAP, then Next

  • Enter the following information in the POP and IMAP Account Settings window:
    • Your Name: Full Name
    • E-mail Address: your Colby e-mail address, including @colby.edu
    • Account Type: Select IMAP from the drop-down menu
    • Incoming mail server: imap.gmail.com
    • Outgoing mail server (SMTP): smtp.gmail.com
    • Username: your Colby e-mail address, including @colby.edu
    • Password: your Colby e-mail password
  • Once complete, select More Settings

  • In the Internet E-mail Settings dialog box, click the Outgoing Server tab and select My outgoing server (SMTP) requires authentication. Also select Use same settings as my incoming mail server. Then click the Advanced tab and enter the following information:
    • Incoming server (IMAP): 993
    • Use the following type of encryption connection: SSL
    • Outgoing server (SMTP): 25
    • Use the following type of encrypted connection: TLS

  • Once complete, select OK and you will return to the POP and IMAP Account Settings window—click Next

  • Outlook will test the account settings by logging into the incoming mail server (imap.gmail.com) and sending a test e-mail message to your Colby e-mail account. You will be prompted to enter your username and password—enter your Colby e-mail address (including @colby.edu) as well as your password, then select OK. Once the test is finished, click Close

  • You should expect the following window—click Finish. You should now follow the directions below to configure your Address Book for LDAP so that Outlook has access to the Colby directory.

Configuring the Address Book for LDAP

  • Open Outlook and click on the File tab (top left), then select Account Settings from the Account and Social Network Settings drop-down menu

  • Select New in the Address Books tab

  • Select Internet Directory Service (LDAP) in the Directory or Address Book type window, then Next

  • Enter the following information in the Directory Service (LDAP) Settings window:
    • Server name: ldaps.colby.edu
    • Check This server requires me to log on and enter your Colby username (including @colby.edu) and password
    • Select Require Secure Password Authentication (SPA)
    • Select More Settings

  • You should be in the Connection tab in the Microsoft LDAP Directory window. Type Colby as the Display Name and make sure the Port is set to 389, then go to the Search tab

  • Enter the following information in the Search tab:
    • Search timeout in sections: 60
    • Specify the maximum number of entries you want to return after a successful search: 100
    • In the Search Base section, select Custom and type ou=people,dc=colby,dc=edu
  • Once complete, select OK

  • Select Next then Finish. You should see Colby as a new Address Book (see below)—select Close.
