Minutes of Training Workgroup Meeting 5/13/99

Present: Janey Adams, Larry Brown, Pat Burdick, and Bob Heath

Meeting commenced 9 am. in Library conference room.

How to approve and post workgroup minutes Procedure outlined: a member of the workgroup will draft minutes in Microsoft Word, then send as attachment to other workgroup members, who will send back corrections/revisions. Final draft of the minutes will go to Larry for posting to workgroup's website. Hard copy of each set of minutes will be retained by the workgroup as backup. Larry will post announcement on Library bulletin board that all future minutes will be available at workgroup's website: http://www.colby.edu/libtech/administration/traininggroup in order to encourage website use by Library staff. Minutes for 4/29/99 meeting approved with no revisions.

Workgroup Statement of Purpose/Mission Statement Proposed text, currently posted to workgroup's website, was reviewed and approved by workgroup members. Larry will repost to website without the "background definitions" section.

Workgroup website possibilities Bob pointed out advantage of Library "intranet" is that text developed by one department is easily linked to by other departments, thus improving training efficiency and procedural consistency. Workgroup discussed possible contents of its particular website (eg the "troubleshooting guide" now in progress, list of Library resources available to staff such as manuals on reserve, videos available via Wendy/ITS). Also discussed: how links can be created to appropriate sites like ITS' list of local training opportunities and specific websites maintained by area educational institutions (KVTC, Thomas College, Messalonskee HS, Waterville HS, etc). Larry will act as web person for the workgroup for now, and invites anyone interested in website training to work with him as the workgroup website develops.

Excel First set of training sessions brought about 10-12 attendees. The "ballot" and additional comments show that charts and graphs are particular topics of interest given current report-writing activities. Workgroup discussed which tapes to do next, given this need.

Consensus: show Tape2/Tape 4 (combined, edited) on Tuesday 5/18; show Tape 3 (charts/graphs) on Friday 5/21; hold Monday 5/24 as "extra showing" day if needed for either Tape2/4 or Tape 3; have Wendy in on Wednesday 5/26. Tape shows will be 60-minute, brown bag lunch formats as before.

Janey will schedule the room and equipment, confirm 5/26 date with Wendy (aiming for 2:30-4 pm). Larry will also ask Wendy for several-week loan of Tapes 2, 3 and 4 in case Library staff members want to review particular topics as they finish their reports.

Next workgroup meeting

Scheduled for Thursday, 5/27 at 9 am in Library conference room. Agenda will include: planning a discussion with Suanne around the workgroup's purpose/mission; continuing refinement of "troubleshooting guide"; reviewing Excel training needs (any interest in next tapes?). Also to be discussed: how to keep workgroup membership rotating so that other interested Library staff can participate. Workgroup meetings are open to all and workgroup members welcome comments or ideas as they plan and complete projects.
