EVENTS/SCHEDULING

The College calendar of events is maintained by the Scheduling Manager in the Eustis Building, first floor. The Manager keeps a daily record of College activities occurring outside the curricular schedule, including lectures, concerts, talks, forums, club meetings, exhibitions, etc. Prior to arranging events, employees should consult with the Scheduling Manager to determine the availability of dates, time, and space. The Scheduling Manager is responsible for scheduling rooms on the second floor of Roberts Union and after 5 p.m. in academic buildings. Cotter Union rooms are scheduled by the Director of Student Activities. The Board Room, third floor of Eustis, is scheduled by the Office of the Administrative Vice President. The Scheduling Manager coordinates with the Office of Special Programs for scheduling events and facilities during the summer months.

The Office of Special Programs plans and coordinates the many conferences held at Colby, particularly during the summer. Staff involved with professional organizations considering Colby as a meeting site are urged to consult the Director of Special Programs for details of Colby's conference facilities.

Notification/Campus News

Colby publishes various newsletters and bulletins with information on campus events. Many of these publications are also provided in electronic form on Colby's Web site.

For Your Information (FYI) provides news of campus-wide interest and is distributed to all faculty and staff most weeks during the academic year and occasionally during the summer. FYI is available electronically at www.colby.edu/fyi.

Colby Calendar, the electronic calendar of Colby events, is accessible from Colby's web-site (www.colby.edu/calendar).

In general, information should be given to the Scheduling Manager in writing by noon Monday of the week preceding the event. Please contact the Scheduling Manager at x3192 for additional information about scheduling, publishing guidelines, and deadlines.

Bulletin Boards

Bulletin boards are located centrally in most academic and administrative buildings, and employees are encouraged to review the board to keep informed of current events and activities. While employees may place personal items on bulletin boards (items for sale, apartment rentals, etc.), solicitations and political advertisements are not appropriate for display. Colby reserves the right to remove inappropriate materials from bulletin boards.

Cultural Events

Numerous cultural activities, most of them free of admission charges, are presented. Notices of art exhibitions, concerts, plays, and lectures are posted on bulletin boards and in FYI.

Personal and Extracurricular Use of College Facilities

Staff may request use of the Lorimer Chapel, various rooms on the second floor in Roberts Union, the Alumni House, Cotter Union, and classrooms for certain purposes. Such requests should be directed to the Scheduling Manager, who will provide information on availability, charges (if any), and rules for the use of the facilities.

Guest House

Colby maintains a Guest House, the Hill House, located next to the Alfond-Wales Tennis Courts. Departments and offices are encouraged to use the Hill House for visitors who might otherwise be lodged in a local motel. A descriptive brochure is available and may be sent to guests in advance of their visit. For reservations and further information, contact the Scheduling Manager.
