EMPLOYMENT PROCEDURES/STAFFING Colby has established a staffing system to manage the number of continuing and temporary faculty and staff, subject to approval by the Board of Trustees. The number of continuing staff positions has been frozen since 1989 and the number of continuing faculty positions has been similarly restrained since 1994. Any new positions generally must come from reductions in existing position authorizations or be funded by contributions to the endowment. The Vice Presidents and Deans are responsible for managing their overall staffing authorizations and may re-allocate positions within their functional areas. When existing positions become vacant, the positions are generally eligible for re-authorization. Personnel Services coordinates the hiring process for administrative and support staff. The supervisor and Personnel Services will review position descriptions and define the minimum qualifications for employment. Personnel Services coordinates the advertising, application, interviewing, and reference-checking process with supervisors. Verbal employment offers are generally made by the supervisor after consultation with Personnel Services and the approval of a designated College administrator. The President, the Vice President for Academic Affairs, the Administrative Vice President, the Associate Vice President for Administration and the Director of Personnel are authorized to approve employment offers at Colby. All staff positions are subject to successful completion of a post-employment, pre-placement physical examination at the Colby Health Center or a local medical provider selected by the College. For more information about the employment process, please contact Personnel Services. Student Employees All students, regardless of financial need, are eligible to hold part-time campus jobs. There are positions in virtually every academic and administrative department, including Dining Services, Physical Plant, and the Library. Over 1,000 Colby students hold campus jobs each year. Student jobs are approved through the normal budget process. The Student Financial Services Office is responsible for coordinating student employment, determining pay rates, and maintaining a list of campus employers. Employment applications are available in the Student Financial Services Office, although students are generally required to secure their own employment. Student employees are generally limited to working 12 hours per week and are paid bi-weekly upon submission of student time cards to the payroll office. Summer Employees Colby has an employment program that provides academic and administrative departments special assistance during the summer months. These temporary summer positions, including student positions, are not automatically renewed each year and must be requested during the annual budget process. Supervisors are generally notified of summer position approvals in the spring. Personnel Services coordinates employment for research assistants and all other positions. |
