The Rules
Student Government Association, Student Programming Board or other College funding may not be used for alcoholic beverages. Dues may be initiated by the organization with the provision that the SGA Treasurer be informed of their amount and total income. Any organization that pays any salaries from their budget must also inform the SGA Treasurer of this expense. In May of each year all unspent funds will be returned to the general SGA account. Please note that funds cannot be forwarded from year-to-year in your organization's account. All clubs must spend their allocated budgets within the College Fiscal Year (July 1-June 30). If unique circumstances prevent a club from using their funds within a fiscal year, please speak with the SGA Treasurer or Lisa Hallen in the Office of Student Activities.
Outside Accounts
Outside checking accounts or savings accounts are strictly forbidden for Colby organizations. Failure to comply with this regulation may result in loss of organization funding and/or recognition.
Records
All organizations are required to account for purchases and revenues by keeping an accurate record in an up-to-date set of books. These records are subject to review by the SGA Treasurer upon request. Failure to keep accurate records could result in loss of organization recognition/funding.
Faculty Advisors and Organization Spending
All organization expenditures must be made by approved student organization members. Faculty Advisors are not permitted to make any expenditures without prior student approval.
Going Over-budget
In an ideal world, no one would go over-budget. If your club/organization goes over-budget, the amount overspent will be subtracted from the next year's allocation. Or, the SGA Treasurer could decide to withhold funding or substantially decrease funding. So, by going over-budget one year will be punishing next year's club leadership. It is important to plan wisely, and use your finances responsibly.
Spending Money on Alcohol
Don't do it. No club or SPB funds can be spent on the purchase of alcohol.
Spending Money to Insult Other Schools
Inter campus rivalry with other NESCAC schools should be a healthy and collegial endeavor. Students who attempt to fuel such rivalries via offensive and crude language will not be able to do so using college funds. The college does not support attempts to degrade and impugn sister schools.
