How do I view the Colby College directory?
The Colby College staff directory is located at https://colby.edu/people/people-directory/.
How do I update my directory profile?
By default, every staff/faculty profile contains the most current data from Workday. This information is updated daily. Most data comes directly from Workday, and should be changed there. However, there are a few fields that are not yet available in Workday and can be changed in our Directory Profile Update Form. To access the form, you will login through Okta SSO using your normal Colby credentials.
In addition, you can use the form to hide certain information from your public profile.
Note: Any previously added profile content prior to October 1st 2022, has been retained.
What fields can I edit and where do I edit them?
Fields that should be changed in Workday:
- Names (first name and last name) – needs to be requested through HR
- Title – needs to be requested through HR
- Profile Photo – can be changed by the employee
- Pronouns – can be changed by the employee
- Office Phone Number – can be changed by the employee
- Office Fax – can be changed by the employee
- Office Location – can be changed by the employee
Fields that should be changed in the Directory Profile Update Form:
- Office Hours
- CV link/personal website
- Professional Bio (note this is an open text field where you can also include areas of expertise, etc.)
What about department?
The department field is a special case. Official department associations should be updated in Workday. But, if your department information doesn’t quite match with what you’d want to present in your public directory, you can edit it through the Directory Profile Update Form.
How do I hide information from my directory profile?
You can hide fields by using the “hide” select box fields for the information you don’t want publicly displayed. Upon submitting the form, the selected fields will be cleared out and hidden from your directory profile.
How do I update my photo?
You update your directory profile photo in Workday. It is the same photo used in your Workday profile.
Go to Workday > Click your profile icon at the top right > View Profile > Actions > Personal Data > Change My Photo
To upload a profile photo at the correct dimensions for the directory, you can use our Directory Image Optimizer tool. For best results, your image should be cropped to a square. Upload your image and click “Download.” The minimum size that should be uploaded to Workday is 300×300 pixels. If your image is large (greater than 300kb) you can use the quality slider to make it smaller in file size.
You should leave some padding between the top of your head and the top of the image when you crop it to avoid having your directory image crop in too much.
How long does it take for changes to appear?
Changes made in Workday can take up to 24 hours to be reflected on your directory profile, since that data sync happens once a day.
Changes made via the Directory Profile Update Form should be reflected as soon as you hit submit.
